SHIPPING & COURIER POLICY

Giridham Art and Culture Foundation (“Foundation”, “we”, “our”, or “us”) accepts resource contributions in the form of materials, goods, equipment, art supplies, cultural resources, educational materials, and other in-kind donations from donors and supporters.

This Shipping & Courier Policy governs the logistics, costs, responsibilities, and liabilities associated with such contributions.


1. Scope of Policy

This policy applies to all in-kind/resource contributions made to the Foundation, including but not limited to:

  • Art & cultural materials

  • Educational supplies

  • Tribal welfare resources

  • Pottery tools & equipment

  • Books, instruments, and craft items

  • Clothing or welfare materials

  • Any other approved physical donations


2. Donor Responsibility for Shipping Costs

All donors contributing physical resources agree that:

  • Shipping, courier, logistics, freight, and transportation costs shall be borne entirely by the donor.

  • The Foundation shall not reimburse or compensate any shipping expenses.

  • Donations sent on a “To Pay / Freight Collect” basis may be refused.


3. Approved Shipping Method

Donors must ensure that:

  • Reputed courier / logistics services are used.

  • Shipments are securely packed to prevent damage.

  • Tracking details are shared with the Foundation in advance.

  • Delivery is addressed to the official office address communicated by the Foundation.


4. Packaging & Handling

The donor is solely responsible for:

  • Proper packaging

  • Insurance (if valuable items are shipped)

  • Compliance with transport regulations

  • Labeling fragile or sensitive items

The Foundation shall not be liable for damage caused due to improper packaging.


5. Acceptance of Shipments

All shipments are subject to:

  • Physical verification

  • Relevance to Foundation activities

  • Usability assessment

The Foundation reserves the right to:

  • Accept or reject any shipment

  • Dispose of unusable/damaged goods

  • Redirect resources to beneficiaries as deemed appropriate


6. Return of Shipments

If any shipment is:

  • Not pre-approved

  • Irrelevant to Foundation work

  • Damaged beyond use

  • Sent freight-to-pay

Then:

  • The Foundation may refuse delivery, OR

  • Return the shipment at the donor’s cost, OR

  • Request the donor to arrange reverse pickup

The Foundation is not obligated to store unapproved materials.


7. International Shipments

For overseas donors:

  • All customs duties, clearance charges, and import taxes must be borne by the donor.

  • The Foundation shall not act as importer of record unless pre-agreed in writing.

  • Non-compliant shipments may be rejected or returned.


8. Risk & Liability

The risk in transit remains with the donor until delivery is completed.

The Foundation shall not be liable for:

  • Transit delays

  • Loss in shipment

  • Courier mishandling

  • Customs seizure

  • Damaged parcels received


9. Acknowledgment of Receipt

Upon successful delivery and verification:

  • The Foundation may issue an acknowledgment / receipt of in-kind donation.

  • Such acknowledgment shall not represent monetary valuation unless formally assessed.


10. No Financial Claim

Shipping resource contributions does not create:

  • Financial liability on the Foundation

  • Reimbursement obligations

  • Tax valuation guarantees (unless certified)


11. Policy Amendments

The Foundation reserves the right to modify this Shipping & Courier Policy at any time without prior notice.

Updated policies shall be binding upon publication.
